As a FACILITIES COORDINATOR, you will oversee and administer all facilities activities of Bear Creek Services.




  • Model the agency mission, vision and values in all interactions.
  • Support the Person-Centered and Positive Environment Culture of the agency.
  • Work cooperatively with other members of the Program Director, Leadership, and Administration teams. Promote positive relationships within these teams.
  • Serve as a lead person in managing the agency’s hazardous waste program and Safety program.
  • Coordinate the bidding of contracts for work on the facilities.
  • Oversee the work of contractors to ensure work meets specifications and standards.
  • Supervise members of the maintenance department.
  • Actively participate, plan and/or lead in various agency meetings, including, but not limited to Admin and Leadership meetings as scheduled.
  • Attend and participate in in-service trainings as required.


  • Plan and coordinate work that needs to be done in the houses and other facilities.
  • Schedule and perform routine and regular preventative maintenance work.
  • Perform inspection of facilities, vehicles, equipment, and machinery and advise management of safety issues and any needed repairs or upgrades
  • Estimate costs for parts and supplies needed during scheduled maintenance.
  • Inventory and purchase equipment and materials for projects and ensure expenses are within budget limit.
  • Keep records and receipts of all purchases submit to the Finance department in a timely manner.
  • Review manufacturers' service manuals and records of maintenance problems to determine optimum frequency of preventive maintenance.
  • Maintain records of planned and completed maintenance.
  • Develop and coordinate plans for the maintenance, repair, or installation of new equipment, vehicles, or facilities.
  • Respond to inquiries regarding maintenance-related issues and concerns.
  • Participate in agency committees and perform tasks as assigned.
  • Adhere to safety and security procedures set forth by the agency committee.


  • Work cooperatively with the Finance Director and Executive Director to advance the agency financial goals.
  • Utilize the agency mission, vision, and values in all decision making.


  • Coordinate the response to work orders including verifying the priority, emphasizing work orders regarding something that is unsafe.
  • Confer with department heads and/or supervisors to schedule maintenance and repair to ensure minimal interruption with their scheduled activities.
  • Collaboratively work with staff in setting up room during agency sponsored events.
  • Provide guidance to staff on use of vendors, maintaining “Emergency Vendor Call List”
  • Provide updates to the Finance Director on a weekly basis or as necessary regarding program status and other program-related issues.


High School diploma or GED, and some additional schooling.  Some supervisory experience and two years experience in building maintenance and/or vehicle repair.


Valid Minnesota driver’s license. 



Knowledge in performing general facilities maintenance including regulations, policies, and operating procedures pertaining to facilities maintenance.

Knowledge and experience in the use of tools, equipment, and other materials associated with building and vehicle maintenance.

Knowledge of safety management practices and principles related to basic electrical, plumbing, heating, ventilation, and air conditioning.

Skills in the operation of hand and power tools and in the maintenance of vehicles and equipment.

Skills in prioritizing work orders and meeting deadlines.

Ability to understand and follow verbal and written instructions.

Ability to establish and maintain standards of maintenance and repair and to select and estimate quantities of supplies and equipment.

Ability to troubleshoot and perform appliance and basic automotive repairs.

Ability to work independently and set own work priorities.

Ability to establish and maintain effective working relationships.
